I. General
- All advertisements are subject to review and approval by BCPA.
- Advertising placement: Placement is determined by BCPA based on availability. Website placement preferences will be accommodated whenever possible but cannot be guaranteed. Newsletter and Social Media advertising placements are assigned on a first-come, first-served basis, subject to availability.
- BCPA reserves the right to reject, remove, or cancel an advertisement that does not align with BCPA's values, policies, mission, or operational requirements.
- Publication of an advertisement does not constitute endorsement or approval by BCPA of any product, service, organization, or opinion presented in the advertisement.
- Current advertising rates, eligibility, specifications, and deadlines are outlined in the BCPA Advertising Brochure.
II. Booking and Submission Requirements
- Advertising requests must be submitted through the BCPA Advertising Booking Form. Submission of the form constitutes acceptance of BCPA's current advertising rates and terms and conditions. Verbal agreements are not binding.
- A booking is confirmed only once BCPA has acknowledged and accepted the completed booking.
- Advertisers must submit all materials in accordance with BCPA's current advertising specifications and submission requirements.
- Advertisers are responsible for the accuracy and content of all submitted materials. Any changes must be submitted in accordance with the applicable submission deadline. BCPA may use the previously approved version if changes are not received by the deadline.
- BCPA is not responsible for errors resulting from late submissions or last-minute changes.
III. Copy and Design
- BCPA reserves the right to add disclaimers or other notices to advertisements where appropriate.
- Advertising rates do not include design services. Additional design work requested from BCPA will be billed at 20% above the applicable advertising rate for the first two hours, with additional time billed at $25 per hour + GST.
IV. Payment Terms
- Invoices will be issued to the designated contact person on file.
- Payment is due within 7 days of receiving an invoice.
- Payment in full is required before the first advertisement is published.
- BCPA reserves the right to withhold or remove advertisements from unpaid or overdue accounts.
- Overdue accounts are subject to a 5% monthly late fee.
V. Cancellation and Rescheduling
- Cancellations must be submitted in writing.
- For each scheduled advertising placement, cancellations received:
- 14 or more days before the scheduled placement date: full refund
- 7–13 days before the scheduled placement date: 50% refund
- Less than 7 days before the scheduled placement date: no refund
- Advertisers may request to reschedule an advertisement, subject to availability and BCPA's approval.
- Any exceptions to the cancellation policy must be agreed upon in writing before the scheduled placement date.
VI. Renewals and Rate Changes
- Advertising bookings do not automatically renew.
- Advertising rates are based on the current BCPA rate card at the time of booking.
- Rate increases apply to new contracts and bookings and are reflected in BCPA's current advertising rates.
VII. Liability and Collections
- Advertisers are solely responsible for the content, accuracy, and legality of their advertisements and agree to indemnify and hold BCPA harmless from claims or liabilities arising from their publication.
- Claims regarding advertising errors will be reviewed on a case-by-case basis. Where an error is determined to be caused by BCPA and has significantly affected the advertisement, an appropriate credit or discount may be considered.
- Advertisers and any agencies acting on their behalf are jointly responsible for payment of all advertising charges.
- Advertisers are responsible for any reasonable collection, legal, or recovery costs incurred by BCPA in pursuing unpaid accounts.
